The Position:

We’re on the hunt for an Administrative Assistant to join the Engineering, Manufacturing, and Safety and Mission Assurance departments on our Robotics and Space Operations team at our Brampton office.

With 40 years of operational experience and proven performance on the iconic Canadarm programs including Space Shuttle and International Space Station robotics and operations support, our Robotics & Space Operations team has 100% mission success in making space dreams come true.

As our Administrative Assistant, you will perform a variety of administrative duties to directly support the Director of Engineering to which the position reports to and any other staff aligned with the position.

**
Responsibilities:**

  • Pro-actively manage appointments and other time commitments using MS Outlook, with attention to urgency, nature of requests and time constraints

  • Assist with confidential and sensitive projects with independent judgment while maintaining an ethical, confidential and professional attitude supporting positive work relationships

  • Set daily objectives – establish a daily correspondence, schedules, agendas, meetings, travel etc.,

  • Administer the annual overhead budgeting process on behalf of the Director of Engineering/Manufacturing and Safety and Mission Assurance including the generation of analysis reports. Reconcile the divisional workforce overhead accounts to ensure the various department overhead demands match the overall budget and allocation.

  • Coordinate and ensure capital planning and procurement for the department and on a monthly basis reconcile overhead statements.

  • Coordinate and administer requirements for department, internal company or customer meetings.

  • Attend meetings as required to record actions and issues and to maintain meeting records.

  • Organize and control filing systems to ensure accuracy and quick retrieval of information, correspondence and documents when necessary.

  • Provide analytical and specialized administrative support to relieve managers, directors and other staff of complex details and advanced administrative duties

  • Assist in the coordination and implementation of regularly required reports and reconciliation of reports where necessary

  • Contact company personnel at all organizational levels to gather information and prepare reports

  • Executes special or continuous research and data analysis tasks

  • Ensure budgets are adhered to and monitor appropriate charge numbers for internal and external billing purposes

  • Liaise and coordinate with other departments (to provide administrative support as required) and external contacts

  • Exercise discretion and independent judgement while analyzing complex information requests and managing daily tasks

  • Special projects as required

 Requirements:

  • Minimum of five (5) years’ work experience in an Administrative Assistant position
  • Strong knowledge of MS-Outlook and MS-Office tools (particularly Word, Excel, Power Point and Visio).
  • Requires analytical skills, problem-solving and fact-finding capabilities
  • Strong written/verbal communication skills, fluent use of written English with knowledge of composition, grammar and punctuation
  • Superior typing skills
  • Excellent organizational and time management skills
  • Initiative, exercise judgement and ability to make decisions within scope of authority
  • Ability to organize work independently with minimum supervision and guidance
  • Discretion in managing sensitive or confidential information
  • Ability to thrive in a fast paced, high-demand environment
  • Demonstrated flexibility to meet and adapt to changes in organizational priorities
  • Ability to work under pressure, to handle interruptions and to manage multiple requests
  • Highly motivated, enthusiastic, and a positive thinker

Successful candidates must obtain and hold security clearance at the reliability status level, and pass security assessment for the Controlled Goods Program (CGP) and ITAR.
