The Administrative Liaison III position is an outstanding opportunity to be part of JPL's Autonomous Systems Division. Our division is responsible for technology, advanced concepts, design, development, delivery, integration & test, verification & validation, operation of hardware, flight software, power systems, robotic systems, and Guidance & Control of a multitude of JPL products.

We are looking for a motivated and dedicated Administrative Liaison, to join our team within the Business Administration Section. You will report to the Business Administration Manager.

Tasks include but not limited to:

  • Perform moderately complex job functions and activities to assist, coordinate and perform aspects of acquisitions, facilities, logistics, safety and property for the Mobility and Robotics Section. This is primarily a logistical and project support position with other duties performed as required.

  • Work with requestors to develop procurement requisitions for both flight and non-flight, standard and specialized materials, supplies, services, and equipment.

  • Process and monitor all requisitions, confirmations and supplier changes and will follow up customer service issues and order discrepancies to resolution.

  • Confer with vendors to obtain product or service information such as price, availability, delivery schedule, etc. and may negotiate pricing for one-time items.

  • Arrange urgent shipment when necessary in collaboration with JPL’s logistics group to meet project schedules.

  • Assist in developing strong relationships with vendors to help ensure JPL is receiving competitive quotes and will help to identify cost improvements and alternative sourcing options to help implement savings for JPL

  • Help monitor suppliers’ performance and will help to analyze and recommend best overall vendors for specific purchases.

  • May assist technical personnel in administering contracts and prepare justification memos for non-competitive procurements.

  • May assist project personnel in tracking requisitions as related to cost and schedule implication on the project.

  • Develop and maintain filing systems sufficient to support procurement policies and procedures.

Other duties may include processing requests for office and/or technical facilities and processing paperwork for surplus equipment and missing property.  May scan inventory items, perform safety walkthroughs and work with the property or safety representative to ensure property and facilities meets security and safety requirements. Process standard shippers for transporting equipment.


  • Typically requires a High School diploma with a minimum of 8 years of related experience or Associates degree with a minimum of 4 year of related experience or a Bachelor’s degree with a minimum of 1 year of related experience and related required training.

  • Must be detail-oriented with strong planning, organizational, problem solving and analytical skills.

  • Must be flexible with ability to prioritize tasks in a dynamic team environment under minimal supervision.

  • Must possess outstanding customer service and communication skills and have excellent written and oral communications skills.

  • Requires an advanced understanding of both general and detailed job aspects and details, as well as the ability to apply strong problem-solving skills as needed on an ongoing basis.

  • Proficiency in Microsoft Office Suite required.

  • Willingness to learn new technologies and tools to enhance and/or improve office processes.

  • Motivated self-starter who takes the initiative to perform activities and resolve unusual or nonstandard problems.

Preferred Skills:

  • Knowledge of JPL/ESD policies, procedures, and practices

  • Subject Matter Expert (SME) in acquisitions, logistics, facilities, safety and property.

  • Experience using JPL-based tools such as Service Order Modules, Requisitions, P-card, WAMs, Property Manager Gateway Administrator, and JPL Web Assets.

  • Some familiarity of JPL reporting tools such as Data Extractor, JEMS and OBIEE/EBIS Business Reporting
