Duties

  • Manages calendars. Independently performs research and logistic arrangements for scheduled tasks. Selects proper procedures and guidelines needed to resolve, organize, or coordinate a variety of office related tasks.
  • Arranges meeting space, speakers and support details for meetings, activities, and large conferences. Attends meetings, captures minutes, notes actions, informs staff of deliverables and arranges for follow through.
  • Prepares ad hoc and reoccurring reports, forms, correspondence, and presentation materials. Creates executive correspondence; reviews all documents for correct format, grammar and spelling.
  • Develops detailed procedures and functions for entering and printing data in varying combinations and formats to meet reporting/documentation requirements.
  • Evaluates and improves office operations for organization with varying functions performed in subordinate offices.
  • Handles day to day administrative responsibilities for the Division management and staff, such as directing phone calls, receive and greet visitors, sorting and distributing incoming mail, and maintaining electronic and hardcopy files and records.
  • Skill in managing executive calendars; in coordinating schedules; and in effectively scheduling multiple priorities for multiple executives in the Division office.
  • Maintains a Government P-Card and procures hardware, software, office supplies, and other items per government regulations and as requested by division personnel and others.

Qualifications

Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.

To qualify for GS-07, you must have:
a) One year of directly related specialized experience equivalent to the GS-06 level

  • Performing administrative and office operations in a business setting, that may include maintaining a government purchase card (P-card) to procure hardware, software, and office supplies;
  • Making travel arrangements, preparing travel vouchers, coordinating conferences and/or meetings, and maintaining calendars;
  • Reviewing outgoing correspondence for proper grammar and compliance with established policy and monitoring or tracking document flow within the office; and
  • Utilizing Microsoft suite to generate work products related to spreadsheets, reports, documents, forms, etc.
